APP Privacy Policy

This Privacy Policy explains how Exploring Scholar Inc. (“Exploring Scholar”, “we”, “us”, or “our”) collects, uses, and protects your information when you use the Exploring Scholar mobile app (the “App”). The App is used by parents and guardians to register their children for our courses, communicate with our staff, view notices, and keep track of their account. By using the App you agree to this Policy.

Information We Collect

We collect only the information needed to run the App and provide our programs.

Account information. When you create an account we collect your name, phone number, and email address. If you choose to sign in with a password, your password is stored in a secure, hashed form by our authentication provider. We never see or store your password in plain text.

Student information you provide. To register a child for a course, you provide the student’s first and last name, grade, and school name, and optionally a student email address. This information is entered by the parent or guardian who holds the account.

Messages and attachments. When you message our staff through the App, we store those messages and any photos or files you choose to attach to them.

Enrollment and billing records. We keep a record of the courses you register for, the charges and payments recorded by our staff, and your account balance. The App does not collect or process credit card numbers. Payments are arranged separately with our office.

Device information. If you allow notifications, we store a push notification token so we can send you updates. We also process the basic technical information needed to operate the App securely.

How We Use Your Information

  • To create and manage your account and verify your identity at sign in.
  • To process course registrations and keep your enrollment and billing records accurate.
  • To let you message our staff and receive replies, notices, and updates.
  • To send notifications you have asked to receive.
  • To provide customer support and respond to your requests.
  • To keep the App secure and prevent misuse.
  • To meet legal and accounting obligations.

Children’s Information

The App is intended for parents and guardians, not for children. Information about a student is provided by the adult account holder for the purpose of enrolling that student in our programs. We do not knowingly allow children to create their own accounts, and we do not use student information for any purpose other than delivering our programs. A parent or guardian can review, correct, or delete a student’s information at any time in the App, or by contacting us using the details below.

How Your Information Is Shared

We do not sell your personal information, and we do not use it for advertising. We share information only with the service providers that help us run the App, and only as needed:

  • Hosting and database. Our database, sign in, and file storage are provided by Supabase, which runs on secure cloud infrastructure.
  • Notifications. Push notifications are delivered through the Expo notification service and the Apple and Google push networks.
  • One-time codes. When you sign in with a code, that code is delivered to you by an SMS or email provider.

We may also disclose information if required to do so by law, or to protect the rights, safety, and security of our users, our staff, or Exploring Scholar.

Where Your Information Is Stored

Your information is stored by our hosting provider on cloud infrastructure that may be located outside Canada, including in the United States. Information is encrypted while in transit, access is restricted to authorized staff, and each account can only access its own data.

How Long We Keep Your Information

We keep your information for as long as your account is active and as long as needed to provide our programs. When you delete your account, we delete your personal information as described in our account deletion page, except for limited records we are required to keep by law, such as financial records, which we keep only for the period required and then delete.

Your Rights and Choices

You can view and update your name, phone, and email in the Profile section of the App. You can add, edit, or remove saved student profiles at any time. You can ask us to access, correct, or delete your personal information by contacting us using the details below. You can also turn notifications off in your device settings.

Deleting Your Account

You can delete your account and its data directly in the App, under Profile, or request deletion if you no longer have the App installed. Full instructions are on our Account Deletion page.

Changes to This Policy

We may update this Policy from time to time. When we do, we will change the date at the top of this page. Please review it occasionally so you stay informed.
